Crafter Software Corporation (“CrafterQ,” “we,” “us,” or “our”), a Delaware corporation with its principal place of business at 7918 Jones Branch Drive, Floor 4, McLean, Virginia, 22102 USA, respects your privacy and is committed to protecting personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you access or use the CrafterQ platform and related services (the “Service”).
This Privacy Policy is incorporated by reference into the CrafterQ Terms of Service.
1. Information We Collect
We collect information in three primary ways: (1) information you provide, (2) information collected automatically, and (3) information processed on behalf of customers.
1.1 Information You Provide Directly
You may provide us with:
- Account information (name, email address, company name)
- Authentication information (usernames, passwords, API keys)
- Billing and payment details (processed by third-party payment processors)
- Communications with us (support requests, emails, feedback)
1.2 Information Processed Through the Service (Customer Content)
When customers use CrafterQ, the Service processes data they upload or connect, which may include:
- Documents, files, text, and structured data
- Website content indexed or crawled at customer's direction
- Chat interactions and conversational logs
- End-user questions and AI-generated responses
Such information (“Customer Content”) is processed solely on behalf of the customer in accordance with our Data Processing Addendum (DPA).
1.3 Information Collected Automatically
We may automatically collect certain technical and usage information, including:
- IP address
- Device and browser type
- Operating system
- Log files, timestamps, and usage metrics
2. How We Use Information
We use information to:
- Provide, operate, and maintain the Service
- Generate AI-assisted responses at customer request
- Authenticate users and secure accounts
- Process subscriptions and payments
- Provide customer support
- Monitor performance, reliability, and security
- Comply with legal obligations
3. AI & Data Use Transparency
3.1 AI Outputs
CrafterQ uses automated and probabilistic systems to generate AI responses based on customer-provided content, configurations, and retrieval sources.
3.2 No Public Model Training
CrafterQ does not use Customer Content, chat logs, or uploaded data to train public or shared foundation AI models.
3.3 Human Oversight
Customers are responsible for reviewing and validating AI outputs before and during use.
4. Service Data (Aggregated & Anonymized)
We may collect and use aggregated and anonymized information about Service usage (“Service Data”) to:
- Improve functionality
- Monitor system performance
- Enhance security and fraud prevention
Service Data does not identify individual users or customers.
5. Cookies & Tracking Technologies
We use cookies and similar technologies to:
- Enable essential website functionality
- Improve user experience
- Analyze usage patterns

6. How We Share Information
We do not sell personal data.
We may share information with:
- Service providers and subprocessors that support hosting, AI inference, analytics, customer support, and payment processing
- Legal and regulatory authorities where required by law or to protect rights, safety, or property
- Business transferees in connection with mergers, acquisitions, or asset sales
All subprocessors are contractually obligated to protect personal data and process it only as instructed by CrafterQ.
7. Data Retention
We retain information only as long as necessary to:
- Provide the Service
- Fulfill contractual and legal obligations
Customer Content and personal data are deleted or anonymized upon termination of the Service in accordance with the DPA, subject to lawful retention requirements.
8. Data Security
We implement administrative, technical, and organizational safeguards designed to protect information, including:
- Encryption in transit and at rest
- Role-based access controls
- Logging and monitoring
- Incident response procedures
We implement reasonable and appropriate safeguards; however, like all systems, the Service may be subject to security risks.
9. International Data Transfers
CrafterQ is headquartered in the United States, and personal data processed through the Service may be transferred to and processed in the United States or other jurisdictions. The United States has not been deemed to provide an “adequate” level of data protection under Article 45 of the EU General Data Protection Regulation (“GDPR”).
Where required, CrafterQ relies on appropriate safeguards for international data transfers, including the European Commission’s Standard Contractual Clauses (SCCs) or other lawful transfer mechanisms recognized under applicable data protection laws. These safeguards are incorporated into our agreements with customers and subprocessors, as applicable.
10. Your Privacy Rights
Depending on your location, you may have rights to:
- Access personal data
- Correct inaccurate data
- Request deletion
- Restrict or object to processing
- Data portability
Requests may be submitted to privacy@crafterq.ai. We may need to verify your identity before fulfilling requests.
11. California Privacy Rights (CPRA)
If you are a California resident, you have the right to:
- Know what personal data we collect and how it is used
- Request deletion of personal data
- Opt out of the sale or sharing of personal data (CrafterQ does not sell personal data)
- Not be discriminated against for exercising privacy rights
12. Children’s Privacy
The Service is not intended for children under 18. We do not knowingly collect personal data from children.
13. Subprocessors
CrafterQ uses third-party service providers (“Subprocessors”) to support the operation of the Service, such as cloud hosting, AI model inference, analytics, and customer support. All Subprocessors are contractually obligated to protect personal data and process it only in accordance with CrafterQ’s instructions.
A current list of CrafterQ’s Subprocessors is available through our Trust Center or upon request.
14. Trust Center
CrafterQ maintains a Trust Center that provides additional information regarding our security, privacy, and compliance practices, including data protection measures, subprocessors, and certifications. The Trust Center is available at https://trust.craftersoftware.com.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via the Service or our website. Continued use of the Service after changes become effective constitutes acceptance.
